And most marketing teams still treat “AI” like a productivity toy.

you’re not just buying a tool.
You’re plugging a third party into your brand, your P&L, and your legal exposure.
This post is a buyer-friendly guide to what you should actually look out for when evaluating content automation platforms (especially those with generative AI). And what we do to remove the risk without killing the speed.
The new risk nobody budgets for: invisible leakage
The biggest security failures in modern marketing aren’t dramatic hacks.
They’re silent “oops” moments:
• a designer pastes confidential pricing into a public AI tool
• a vendor trains their model on your brand files
• an agency exports assets to a personal drive “to speed things up”

The buyer’s checklist (this one is for my procurement friends)
If you’re evaluating a platform that touches marketing production, ask these questions. If you don’t get clear answers, assume the worst.
1) Where does the data live — really?
Not “we’re cloud-based.”
Ask:
• where is production data stored (region, provider)?
• where are backups stored?
• can we pin data residency to EU / US / specific geos?
• what happens to data in logs, analytics, previews, and exports?
Because “data location” isn’t just about compliance. It’s about control.
2) Is your content used to train any AI models?
This is the question that separates “AI marketing” from “AI governance.”
Ask:
• do you train on customer data by default?
• is it opt-in or opt-out?
• does it apply to prompts and outputs?
• does it apply to uploaded assets and generated assets?
• can you guarantee data isolation per tenant?
If the answer is vague, that’s your answer.
3) What’s your IP stance — in writing?
A lot of AI terms hide behind “we don’t claim ownership” while still reserving broad usage rights.
Ask:
• who owns outputs generated in the platform?
• what indemnities exist (if any)?
• what happens if generated content resembles copyrighted material?
• do you provide guardrails to reduce infringement risk (not just disclaimers)?
The scary part isn’t infringement. It’s infringement you don’t notice.
4) Can users accidentally create non-compliant or infringing content?
This is the real-world scenario.
Even with good intentions, AI can generate:
• claims that aren’t approved
• “almost” brand fonts / styles
• copy that violates regulated category rules
• lookalike visuals too close to competitors
• wrong disclaimers per market
Ask:
• what guardrails exist at creation time?
• what checks exist at approval time?
• what gets locked vs editable?
• can we enforce per-market rules (legal, pricing, disclaimers)?
If the platform is “fully flexible,” that’s not a feature. That’s a liability.
5) Do you have an AI committee and governance process?
If a vendor says “we move fast,” great.
If they also say “we don’t have governance,” run.
Ask:
• who approves AI features internally?
• what’s the risk review process?
• how do you test model updates?
• how do you respond to AI-related incidents?
You don’t need bureaucracy. You need responsibility.
6) Immutable backups and audit logs: do you have proof?
Marketing ops is full of “who changed this?” moments.
Ask:
• do you have immutable backups (cannot be altered)?
• can we restore specific versions of templates/assets?
• do you log user actions (who, what, when)?
• can we export audit logs?
Because incident response starts with visibility.
7) Access control: can you actually control your ecosystem?
Your “marketing team” includes:
• internal users
• agencies
• freelancers
• local markets
• external partners
Ask:
• role-based permissions (fine-grained, not “admin or not”)
• market-level restrictions
• template locking
• approval workflows
• SSO / SCIM provisioning (if relevant)
If you can’t control access, you don’t control the system.
What we do differently (security that doesn’t slow you down)
Here’s the principle: speed and governance can coexist - if you bake guardrails into the production system.
1) Governance by design: brand rules, not “guidelines”

• restore points you can rely on
Because sooner or later, something will go wrong. The question is whether you can recover without chaos.
4) Separation of concerns: data stays your data
In a production chain, multiple systems touch the content:
• product/pricing sources
• assets (DAM/CDN)
• template engine
• rendering
• distribution
The safest architecture is where each layer does its job without leaking data across boundaries, and without turning your brand into “training material.”
5) Proactive risk reduction: preventing “unknown unknowns”
The biggest security wins are boring:
• reducing manual file movement
• reducing email attachments
• reducing local exports
• reducing shadow drives
• reducing “just send me the PSD”
Every one of those is a leak vector.
Automation isn’t only a speed story. It’s a containment story.

A lot of teams pitch content automation purely as:
• faster production
• lower agency costs
• more channel coverage
That’s true.

• AI training policy (explicit + contractual)
• IP stance + safeguards
• guardrails in templates
• audit logs + restore
• role-based access
• incident response maturity
• partner/agency control
• export + distribution controls
• proof (not promises)
If a vendor scores high on features and low on governance, you’re not buying innovation.
You’re buying future incidents.
The real goal: move fast, without betting the brand
Marketing needs speed.
Procurement needs certainty.
Legal needs control.
IT needs governance.
The best platforms don’t pick one side.
They build a system where creative teams move faster because the risks are engineered out.
That’s the bar now.
And buyers should demand it.
